Clinical Notifications - How to Alert your Practice of Prescription and File Changes

The EasyRx "Send Notification" function is one of the most powerful features available to labs. It allows you to securely address major and minor Rx issues/changes/concerns through a robust two-way notification system. 

What is the "Send Notification" typically used for? Some instances are: To review files added to a prescription like a Treatment Simulation, when a lab needs to notify that the due date of a prescription needs to change or get pushed back, if a client needs to review important Rx changes, get authorization from a doctor to edit the Rx or reference any file that is attached to it (such as an STL, PDF, etc). It allows for a clean and centralized way to manage your communication in EasyRx regarding each prescription--not to mention you have the EasyRx security and data protection that ensures your communication is compliant with HIPAA.

How to use the notification system for Labs- 
Step 1: When a practice submits an Rx, go into the prescription via one of the "Edit" buttons as shown below. 


HINT: Only Submitted and Checked-In Prescriptions have Edit options. We highly recommend calling in any urgent messages if the prescription is Checked-Out to your client. We do not advise un-submitting the Rx to add a notification unless authorized by your client. 

Step 2: On the Prescription Workspace, select the Envelope Icon which represents "Send Notifications"  The envelope icon will be highlighted red if a notification has already been created. 




Step 3:
Here you have a unique set of options to get your clients notified.
Under the "Notify Regarding" Section, one or more of these options can be checked: 
-General Treatment : Most general comments such as changing parts / appliances / prescription information / dates should be a good fit for checking this option.
-Files (normally listed as the File Name that was attached with the Rx): Any attached files such as STL or PDFs can be chosen if you'd like to point the notification to a problem / question / comment regarding attached data and not the prescription itself. Typically if the STL file is incorrect, alignment needs to be done, additional information is needed, etc. then it's a good idea to check this option.




Under the Requested Action - This is VERY important so please look over carefully. Each option below will email the customer unless you choose to not include the customers email. 

-Notify Only- The practice see's a Pending Notification on their EasyRx account dashboard and in the prescription that requires their attention. They can simply acknowledge the message, or comment back. They will receive an email as well provided you've included their email address.
-Notify and Require Approval- For major changes or critical messages, we recommend this as it's the most invasive approach. The practice will need to view and provide a doctor or authorized signature to confirm they've seen your message. They may also comment back before signing / approving. This records in both you and your practices EasyRx account and provides an excellent paper-trail for both sides regarding the prescription. 
-Notify by Email Only- The least-invasive approach. Your message is simply sent to the client as an email and is NOT recorded in EasyRx. The practice will not see any message or notification in their EasyRx portal. This is typically best for customers that you've notified in advance of changes / issues or if the issue is very minimal. 

Under the Send Notification by Email- This is an optional field you can fill to include email addresses of your customer or any specific staff you'd like to be aware of the notification. This is helpful if there are other staff involved that may not be EasyRx users or Practices that you've created an account for to manually create prescriptions. 

Under the Message - This is where your comment / question / concern should be listed regarding the Rx or any associated files. Be detailed as to ensure your client understands what needs to be done or acknowledged for their prescription. Doctors are detail orient so your help is something they would appreciate!

Click "Send Notification" and then you are set!

Step 4: The next screen is the Clinical Verification page which can be viewed by going to your Messages section. It lists any notifications you've already sent out, their status, and if the practice has committed an action against it or commented. You can view the notification details here or create a new one.
