iTero Integration - How to enable and use the EasyRx / iTero Auto-Attach feature

Section 1 -- Important Notes for both labs + practices:
The EasyRx / iTero integration is contingent on the type of scan that was taken on the practice's iTero Scanner. When a practice scans a patient, the iTero scanner allows them to choose different 'scan types'.

As you will read further down, EasyRx can only auto-attach scans when they are available in the practices iTero account. If a scan is not completed, the auto-attach will be delayed. For best results, we highly recommend the practice takes iRecord scans or the iRecord+Invisalign scan type on their iTero machine.

iRecord scan: This is the most common scan type and are usually available within 30 minutes to download. The practice is given the choice to choose an iTero registered lab on the scanner. You do not need to choose a lab on the itero machine in order for the EasyRx integration to work. If you do submit it on the scanner, the lab will have a backup way of accessing your scans. Most labs will look inside the EasyRx prescription for the scans first, and if not there will go to their iTero portal to export your scans. Exporting scans is slightly time consuming for labs so we highly recommend using the EasyRx integration regardless.

The lab that gets the EasyRx prescription with this scan type will have the option to 'Re-Export with OrthoCAD' to get a solid model with low-profile base if desired. By default, EasyRx will attach these as an Open Shell file (no base) giving the lab free range to base/label/trim as needed.

iCast scan: These scans are sent directly to MyAlignTech to have a MyAlignTech lab employee digitally edit the models, and add a base. Customers can also request that iTero removes brackets off the models for them (this may or may not be available as a feature depending on the iTero data plan/package the customer has--please talk with your iTero rep to find out). It can take 2-5 business days before these models are completed/available for your lab to download. Remember, EasyRx can only auto-attach the itero scan if the scans are first complete. Meaning your lab will not get the scans in the EasyRx prescription until MyAlignTech's personnel is done basing the model first. We recommend only taking iCast if you have plenty of time before the case is due, at least 10 calendar days or more to be safe.

The lab getting these Rx's with this scan type will not be able to Re-export these scans with OrthoCAD to change the base type. Any further editing or changing of the model will need to be done by the lab. If the lab attempts to Re-Export with OrthoCAD, the options to choose an open shell STL file or low-profile base will be grayed out/disabled per iTero's rules for this scan type. The lab will get the STL file(s) with a base already added and the bracket(s) removed if it was requested to iTero.

iRecord + Invisalign: Another common scan type. Usually available within 30 minutes. Allows the practice to send out for an Invisalign case as well as submit the scan to a lab of the practice's choice on the iTero scanner that is an iTero registered lab. You do not need to choose a lab on the iTero scanner for the EasyRx/iTero integration to work. The lab will get an open shell STL file when the auto-attaching process is complete.

Like the iRecord, the lab receiving the scan in EasyRx will have the option to Re-Export with OrthoCAD to get a low profile base added if they'd like.

Invisalign Scan Type: These are normally cases sent directly to Invisalign. They tend to be highly accurate as the iTero scanners force users to clean up the models on the scanner itself before the scan can complete. The user cannot choose a lab to submit it to on the scanner aside from Invisalign. 

EasyRx can still auto-attach these invisalign scans if you enter the Case Order ID in the EasyRx prescription form. This is especially handy if say you have an invisalign refinement, and end up need a metal appliance or some sort of Rx besides what has already been sent to Invisalign. Simply create an Rx in EasyRx and use the iTero integration, and EasyRx will auto-attach the scans to the lab of your choice within the EasyRx labs list on your account using the same Order ID number as you took for the Invisalign scan.

The lab receiving the scan will get an open shell STL file that they can base/edit as needed. These are usually available within 30 minutes or less. If Invisalign has modified the STL file after the scan is complete, EasyRx will only upload the original STL file that was first available when it uploaded to the practice's iTero website. Further scans may need to be manually attached to the prescription or a new case needs to be submitted. 

Other scan types: Various other scan types exist on the iTero machine but have not been tested with the EasyRx integration and we do not have information on them at this time.

Section 1 - Guide for Practices

Practices can use our iTero Integration to have the option of using an iTero Case Order ID as a prescriptions Model Source. By entering an iTero Case Order ID, EasyRx will verify the patient the scan belongs to, auto-attach the scan to the prescription as an STL (3D model) file and then submit the case to your lab. 

Practices can use both iRecord and iRecord + Invisalign scan types when using their iTero scanner. Also, you no longer need to select a lab on your scanner to use the EasyRx iTero integration.

Practices- There are now only two requirements to use this feature properly:
-The login information for MyAlignTech integration in EasyRx must be correct
-When sending an Rx in EasyRx, the iTero Case Order ID must match exactly as it appears in the MyAlignTech database 

Don't worry, we have some safety nets to make sure most of these requirements are met before you submit, we will cover it further in this article. 

Configuring your EasyRx iTero integration
Practices can setup their integration by clicking the top-right dropdown -> selecting [Account Settings] -> then selecting the [3rd Party Integrations] in the menu item 

After accessing the menu, you will need to enter your iTero MyAlignTech (formally known as MyCadent) login information. The username will be the email address you registered with MyAlignTech (Example: --not TestPractice)

If you enter the wrong credentials or they do not match, you will get an error messaging as shown below.


After ensuring you have the correct login info, you will need to click [SAVE]. 

By clicking Save, you allow EasyRx back-end access to your MyAlignTech portal to link and obtain patient information related to iTero Case Order ID and attach any supporting STL files.

Practices: Familiarizing yourself with how to properly send iTero Case Order IDs in EasyRx and related system messages

Effective February 2018 - we added two additional methods to lookup the iTero Case Order ID:

There are three ways to attach the iTero Case Order ID to prescriptions:
  • Use the Recent - iTero Scans menu option on the dashboard
  • Use the Lookup iTero scans on the Uploads tab
  • Manually enter the iTero Case Order ID on the Uploads tab

Using the iTero - Recent Scans menu option  
Once the iTero integration is enabled, the iTero Recent Scans menu option displays on the Main Dashboard

When selected, you'll see a list of all iTero scans, sorted chronologically, with the most recent scans on the first page 
  • You can refresh the list by clicking [Check for New Scans] at the top (like you just took a scan that is not displaying)
  • Click [Create Rx] to create a prescription for the selected patient. If the patient is found in EasyRx, the [Create Rx] screen is displayed. If the patent is not found, the lookup patient screen is displayed, allowing to link to a existing patient or create a new patient 
  • When the prescription loads, the iTero Case Order ID is copied to the Uploads tab and validated
  • [view rx] is displayed if a prescription has already been created using that scan.  Click [View Rx] to view the prescription

Once the integration is enabled,  If the integration is enable, you will see the option to enter an iTero Case Order ID # and lookup  

If you know the Case Order ID, you can enter it in the iTerr Case ]Order ID box.   If you don't know the case order ID, click [Lookup and Insert iTero Case].  When clicked this opens a window displaying Recent iTero scans

  • The scans are displayed in chronological order, with the most recent scans on the first page.  
  • Click [Check for New Scans] to refresh the list
  • Click [attach scan] to attach the Case Order ID to this prescription 
  • We also provide you with a quick-link to the MyAlignTech portal to find the Case Order ID # if needed

    Helpful hint: The case ID # is always a set of numbers; there are no letters in the case ID. Do not confuse this with the Order Details ID or the Order Code. In iTero the Case ID is usually referred to as simply the "Order ID".
After you enter the correct iTero Case Order ID number,  click VALIDATE. When Validate is clicked, EasyRx will search your MyAlignTech account to identify which iTero patient your Order ID is linked with. This verification is a fairly quick and only takes about 2-4 seconds depending on your internet connection and iTero's server availability. If the case order matches the patient you are creating the Rx for, you are good to go. If you can't a different patient name, you should re-enter the case order ID.

Unable to validate message

In the above image, you will receive a "Unable to validate this Case Order ID..." if the iTero Case Order ID is incorrect or does not exist. Please use the [MyAlignTech] link provided to find the correct Order  number and also make sure there are no blank spaces in the Case Order ID field. 

The above image shows a properly entered iTero Case Order ID that is linked to the correct patient. You may proceed to continue editing your prescription or [Proceed to Submit] to move on to the [Checkout page]. EasyRx will automatically attach the iTero scans as STL files after you submit the prescription. This applies to both if submitting to your in-house lab or a commercial lab. The auto-attach process will take a few minutes depending on the size of the file. Remember if you took an iCast scan, EasyRx cannot auto-attach the file until the MyAlign team first finishes their work. iCast scans take between 2-5 days to process. Once done processing, EasyRx will auto-attach within a few minutes of it being completed in your iTero portal. We highly recommend taking iRecord scans to reduce the auto-attach delay.

In-house labs: If you are opening an Rx that has an iTero scan from your in-house lab, EasyRx will let you know if the auto-attach process is still taking place by providing the message below when viewing the rx.

When the auto-attach is complete, you will see this message and the respective files attached below it. That's it! 

Section 2 - Lab instructions

Two Ways to use the iTero integration:

Method 1 - Let EasyRx do the work - When your practices use the EasyRx iTero integration, EasyRx will auto-attach the respective STL files to their prescription. This occurs if the practice has entered a valid iTero Case Order ID number on a Rx. When the practice has submitted you their prescription, you as the lab will be able to open the Rx and view the STL files as attachments to the Rx.

Key points to know for this method:
  • This method does not require you as the lab to have iTero MyAlignTech credentials setup in your EasyRx account
  • Your practices do not have to select a lab to to submit the scan to on their iTero scanner using this method.
Helpful Hint: We let the practice know when they enter an iTero Case ID number that the auto-attach may take a few minutes. Depending on the size of the file(s) and how recently the practice submitted the case, you may need to refresh the page to see the files present. The image below shows where to expect the files when viewing a prescription as a lab. 

 Method 2 - Manually access and export the STL files
Labs have the option to manually export the STL and attach to the Rx.  Once a practice has submitted a Rx with a iTero case ID attached, from EasyRx, the lab can
-Open OrthoCad
-Export the STL(s)

To facilitate this, the EasyRx application is always running behind the scenes, scanning for newly submitted Rxs with iTero Case IDs. Once detected, EasyRx connects to MyAlignTech then creates the URL for the patient/Rx combination and attaches this URL to the Rx. 

1. Configure your My Align Tech credentials in EasyRx. This enables the feature My Align Tech integration in EasyRx. To do this, go to [Configure]  then scroll down to ---> [3rd Party integrations]

Enter your lab's iTero MyAlignTech login credentials:

Be sure to click [SAVE] when finished. 

Prescriptions show in green that have iTero Case IDs attached with them. This is also true if a prescription came in that has STL files attached, they will also be green as well, alerting you to not expect a physical impression and just reference the Rx itself. 

4. After opening the Rx, navigate to the [Uploads] tab to either [Export] the STL files or [Open in MyAlignTech] to view the file(s)

The practice has the option to request that you upload the iTero STL files attached to the case order ID back into EasyRx. You will only need to do this if the STL file has not already been auto-attached to the Rx.

If they requested this option - you will need to follow these simple instructions:

Click on [Export with OrthoCad]. The first time this is done, you'll be prompted to choose the application to open the link. Click [Choose Application] to associate OrthoCad software with the URL. Be sure to select the checkbox that says [Remember my choice for orthocad links] if available. 

Your OrthoCad application should then open and information case information is automatically passed to OrthoCad to open the case on the selected prescription. 

A common problem, if the case ID does not open, could be the result of an incorrect case order ID number having been entered. We encourage you to [send a notification] to your practice advising them to double check the iTero case order ID# to ensure it was not miskeyed or incorrect. 

Once OrthoCad opens, export the STL to a local drive and attach STL to your case's EasyRx prescription:
