Ship Date Automation - Days in Lab - Scheduling by Part Categories and Product Classes
Labs, you asked and we answered!
Ship Date Automation now supports scheduling by Part Category, and Product Class in addition to Practice overrides.
We've also added Max Cases Per Workday.
When a practice goes to edit an Rx, they have to input a Date Needed that communicates to your lab when they need the appliance back to the office by.
Your lab already could adjust Days In Lab in Configure > Ship Date Automation. This will set how many days your lab generally requires for any Rx to process to fulfillment.
Now, your lab can modify Days In Lab for specific Part Categories and Product Classes!
So, whether the practice should anticipate a turn-around of 4 days for Removable/clear retainers or 10 days for Aligners, you can set up your lab account to convey that specific calendar availability.
Go to Configure > Ship Date Automation:
Max Cases Per Workday:
Max Cases Per Workday is available here, where you can limit your lab's daily workload.
Example: We set a "Max Cases Per Workday" setting to 20. This means once the 20 cases are submitted with the same Due Date, EasyRx will then prevent any more from being scheduled for that day. If a doctor's office tries to submit a 21st case with the same due date, EasyRx will inform the office that that date is booked up with the lab, and to please choose another date.
Part Category Overrides:
Set a specific number of Days In Lab for individual part categories so that when the practice adds a part from that category to an Rx, the calendar availability for the Date Needed on the Rx will reflect that availability for your lab.
Under Part Overrides > Add Part Settings, you can select the Part category you want to adjust, then input the number of Days In the Lab you anticipate that will take.
Configured Part Overrides show what you have already set up.
Search for your Part Category in the dropdown, input the number of Days In Lab, then click ADD:
For both Part Overrides and Product Class Overrides, be sure to click on SAVE CHANGES when done:
To see what category an existing part is under, go to Configure > Parts > search for your part > Edit:
To group Days In Lab by Product Class (i.e. Digital Study Models, Indirect Bonding, Invisible), select from Product Class, input Days in Lab, and (if needed) add Max Cases Per Day.
Max Cases Per Day is available here, where you can limit your lab's workload depending on the Product Classes Max Cases Per Day setting.
What the practice sees:
When the practice goes to Create an Rx, the first Date Needed they will see is the default Days In Lab your lab has input on your Ship Date Automation page.
The Date Needed calendar will be open for availability if your lab does not have anything input in Days In Lab.
In this example, the lab has "5" days set - indicating any Rx sent to the lab will take at least 5 days:
The practice will see a green square around the date that is 5 days out from today's date:
When the practice adds parts, appliances, or a product class to the Rx, the Date Needed will change if your lab has included those in your Ship Date Automation setup.
In this example, the lab has 5 Days in Lab as their standard default, 10 Days in Lab for Habit Breakers (RPE w/ Habit Crib), and 14 days for Aligners (Clear Aligner Tray). The software will use the item with the most number of Days In Lab, in this case, the Aligners (Clear Aligner Tray) 14 Days:
This lab also has weekends closed.
With weekends greyed out, the soonest the practice can expect to see this case is in 14 business days.
From the above example, this is the lab's Ship Date Automation setup:
